Irosoft establishes a new paradigm for the "Paperless Council" and moves ahead with its technological advances

Montreal, January 31, 2008 - Irosoft introduces a new integrated document and information management solution. This solution allows members of a working group, be it a board of directors, a town council or an executive council, to analyze and share information on all related files, in real time, remotely and in a secure way, while ensuring the perenniality of all documents.

The existence of electronic document management technology is certainly not new. For some time, it has been possible to access digitized documents and information either through the Internet or by using an electronic storage medium such as CD-ROM to read documents and write annotations on them. However, until now, the management of an unaltered original document and its subsequent versions over time, as well as the selective sharing of comments or notes, have represented great challenges.

With this new technology and its unique function of shared or private annotations, Irosoft pushes the limits of document management and capitalizes on its collaborative aspect while ensuring a better coherence in the process.

The Irosoft Paperless Council solution is easy to use. It simplifies the preparation and the manner in which the meeting is held. It makes it possible to: access at all times and remotely the council's active files; review the most recent information available; share certain thoughts or notes with other council members; and consult relevant databases. During the course of a meeting, the Paperless Council solution makes it possible to discuss and correct the wording of a decision; write and distribute the official minutes; and, if necessary, consult on-line the organizational materials placed at the disposal of members, such as past decisions and the history of files.

Based on open standards such as XML, Irosoft's Paperless Council solution provides important advantages that contribute to the overall effectiveness of a council in resolving issues, making decisions and better managing an organization.

The introduction of this innovative technology is simple and requires minimal training.

This solution was successfully implemented at the Conseil de la magistrature du Québec (the judicial council for Quebec) and will soon be seen in operation in municipalities across the Province of Quebec.

Thanks to this technology, the members of the Conseil de la magistrature du Québec now have real-time access to the case law developed by the council, its deliberations since its establishment and the files completed with each meeting. This also allows them to work in a collegial way in areas which are exclusively in their domain.

"The Conseil de la magistrature now holds its meetings without the use of a paper medium and is entirely satisfied with this new way of operating. The decision-making is facilitated by the quality content of the documentary database which members can access at all times," underlined the Conseil de la magistrature's Secretariat.

"In addition to ensuring the perenniality of all documents, the Irosoft solution provides automated compliance with provincial legislation regarding audit trails and archiving. In today's context of good governance within our public and private institutions, these extremely important aspects ensure that mechanisms are in place to attain the goal of accountability expected in a democratic society," says René-Luc Morin, Vice President at Irosoft, responsible for the successful implementation of the Paperless Council project at the Conseil.
